What we collect and how
Information you give us
- Contact form: your name, email address, company (optional), the service you're interested in, the package you're interested in (optional), your message, and a record that you agreed to this policy, with the date, time and page you sent it from.
- Email, phone and WhatsApp: whatever you choose to send us, and your contact details, when you email or call us or when we reply to an enquiry on WhatsApp.
- Working with us: if you become a client, the contact details and project information needed to deliver the work.
Please don't send us special personal information (for example health, religious or biometric information) or information about children. We don't need it to answer an enquiry.
Information collected automatically
When you visit the site, our hosting provider automatically records standard server logs: your IP address, the date and time, the page requested, the page you came from, and your browser and device type. We use no analytics, advertising or tracking tools, and the site sets no cookies.
Information stored on your device
If you use the light/dark theme switch, your choice is saved in your browser (see Cookies and local storage). It never leaves your device.
Why we use it, and our lawful basis
We only use personal information for the purposes below, each with a lawful basis under section 11 of POPIA.
| Purpose | Information | Lawful basis |
|---|---|---|
| Replying to your enquiry and discussing a possible project | Form details, emails, calls, WhatsApp messages | Your consent (s11(1)(a)), and taking steps you asked for before a contract (s11(1)(b)) |
| Delivering work and managing our relationship if you become a client | Contact and project information | Performing our contract with you (s11(1)(b)) |
| Keeping the website secure and working | Server logs | Our legitimate interest in running a secure site (s11(1)(f)) |
| Meeting legal, tax and accounting obligations | Client and invoicing records | Complying with the law (s11(1)(c)) |
| Publishing a client testimonial or case study | Name, role, company, quote, project details | Your written consent (s11(1)(a)) |
We don't use your information for automated decision-making or profiling.
Consent, and withdrawing it
When you send the contact form, you agree to us using your details to reply to your enquiry, as this policy describes. That consent covers replying only, not marketing.
You can withdraw your consent at any time by emailing our Information Officer at PLACEHOLDER: Information Officer email. We'll stop using your information for that purpose. Withdrawing consent doesn't affect anything we did lawfully before, and we may need to keep some records where the law requires it.
Transfers outside South Africa
Some of our providers store information outside South Africa:
- Contact form provider: United States
- Hosting provider: PLACEHOLDER: where the host stores logs
- Email provider: Google’s servers in several countries, including outside South Africa
- CRM or project tool: PLACEHOLDER: where the CRM or project tool stores data
- WhatsApp: operated by Meta, with servers in several countries.
Under section 72 of POPIA, we only transfer personal information abroad where the recipient is bound by law, binding corporate rules or an agreement that gives it a level of protection similar to POPIA, where the transfer is needed to reply to you or perform our contract with you, or where you have agreed to it.
How long we keep it
We keep personal information only as long as we need it for the purposes above, or as the law requires:
| Information | Kept for |
|---|---|
| Enquiries (form, email, CRM) that don't become projects | PLACEHOLDER: retention period for enquiries (form, email, CRM) |
| WhatsApp conversations | PLACEHOLDER: retention period for WhatsApp conversations |
| Client project and invoicing records | PLACEHOLDER: retention period for client project records |
| Hosting server logs | PLACEHOLDER: retention period for hosting server logs |
| Theme preference on your device | Until you clear your browser's site data |
When information is no longer needed, we delete it or de-identify it so it can no longer be linked to you, including in the tools our providers run for us.
How we protect it
We take reasonable technical and organisational steps to keep personal information safe (POPIA section 19), including:
- encrypted connections (HTTPS) to this site;
- access to enquiries and client records only for people who need it;
- strong passwords and two-factor sign-in on the tools that hold your information;
- choosing providers that commit to appropriate security.
No system is completely secure. If we have reasonable grounds to believe your information has been accessed without authorisation, we'll tell you and the Information Regulator as POPIA requires (section 22).
Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct information that is inaccurate, out of date or incomplete;
- ask us to delete information we no longer have a right to keep;
- object to us using your information, on reasonable grounds;
- withdraw your consent;
- complain to the Information Regulator (see Complaints).
To make a request, email our Information Officer at PLACEHOLDER: Information Officer email. We may need to confirm your identity before acting on it, and we'll respond within a reasonable time. You can use the forms prescribed under the POPIA regulations, but an email is enough. Requests for access to records are handled under the Promotion of Access to Information Act (PAIA); our PAIA manual is available: PLACEHOLDER: where the PAIA manual is available (link, or "on request").
Direct marketing
We don't use the details you send through the contact form, by email or on WhatsApp for marketing. We'd only send you marketing, such as a newsletter, if you separately opt in to it (POPIA section 69), and every message would include an easy way to unsubscribe.
Children
This site and our services are for businesses and adults, not for children under 18. We don't knowingly collect personal information about children. If you believe a child has sent us their details, contact our Information Officer and we'll delete them.
Complaints
If you're unhappy with how we've handled your personal information, please tell our Information Officer first (PLACEHOLDER: Information Officer email) so we can try to put it right.

Changes to this policy
We'll update this policy when the way we handle personal information changes, for example if we add a new provider, a booking tool or analytics.
